Nomination / Application Processes

Nominations by home institutions

Home coordinators first nominate their students according to our bilateral agreements and numbers provided therein. No subdivision of months or student numbers is accepted (unless previously consulted on and approved by the host coordinator).

We are accepting nominations for the next academic year: in the winter semester by 5 May, the summer semester by 5 November.

Exchange students wishing to study at our school have to be nominated by their home institution. We do not have the capacity to accept freemoving or visiting students.

Deadlines for Erasmus applicants

  • for the winter semester / full academic year: 15 May
  • for the summer semester: 15 November

The application process is now processed online, and all necessary documents must be uploaded. Upon nomination our International office at the University of Ljubljana will send instructions and information on the application. There is no need to send a physical copy of the application or any of the supporting documents.

Language

Architecture studies and language

The official language in all courses is Slovene, although in design studios and courses, exchange students can communicate and work individually with teachers in English (main subjects, design studios typically). Mingling of exchange and Slovene students is encouraged during group work. Where there is a majority of exchange students (in elective courses typically) a consensus can be reached for lectures and communication to be conducted in English. Such arrangements have proven to be quite efficient, and most of the students do very well as long as their command of English is on a sufficient level. Some of the teachers are also fluent in other foreign languages (e.g., German, Italian, French, Croatian, Serbian).

Required Language Skills

Students must present proof of B2 level language skills in either Slovene or English. Level B2 refers to the CEFR scale of the European Language Portfolio Levels.

How to prove language skills in Slovene or English

  • Language skills are cited on the Transcript of Records of the home university; or
  • on a Language Certificate with CEFR scale; or
  • a TOEFL score of 79 (IBT) or IELTS score of 6 for English, or any official certificate
  • Results from the OLS (Online Language Support) 
  • Any other official certificates

Essentials (to-do)

After Arrival

  • head to the International Office in the university building at Kongresni trg 12
  • attend the first meeting for (all) Erasmus incoming students at the Faculty of Architecture, Zoisova cesta 12
  • after lectures begin, choose courses you would like to attend and the design studio by putting your name and email on the list (if you need help to decide, there is usually an exhibition of student work for each design studio; you can also talk to fellow students, student tutors, or students attending the design studios what the work looks like and their opinion); add your name and email to the list of elective courses you would like to attend
  • formally enrol at the Faculty of Architecture afterwards by the date and according to the instructions provided – see Study Information for details
  • finalize your learning agreement with the coordinator by 5 November

During The Study Year

  • study, attend the classes and engage in faculty activities
  • amend the Learning Agreement if necessary after an initial discussion with your coordinator
  • changes to Learning Agreements are limited to specific time frames throughout the year. In the winter semester, you will be able to change LAs by 5 November, and in summer semester from 15 February to 15 March. Changes prior to or following these dates, or at the end of your stay are possible only if previously approved by the host coordinator

Before Departure

  • make sure all your courses are listed the ŠIS system, otherwise lecturers will not be able to assign you grades
  • ask lecturers to grade you before you leave (during the holidays and summer it is more difficult to reach them)
  • if you leave before receiving all your grades, make sure that all your courses are listed in the ŠIS system, remind lecturers you will not be around to ask about grades, and arrange with the Student Affairs Office for a transcript of records to be mailed to you; upon receiving your last grade in SiS, request the transcript of records from the Student Affairs Office. Provide (all of) the address(es) where the ToR should be sent (since 2019, we only issue and send documentation digitally).
  • TRANSCRIPTS OF RECORDS will be e-mailed to your address upon your request (please add the e-mail address of the responsible person at your home institution if needed)
  • CONFIRMATION OF STAY will be carried out by the coordinator at FA on the form provided by your home institution (a digital document sent via email and a digital verification); if a form has not been provided, one can be requested from the coordinator at FA via e-mail, based on the information provided by the student (start, end dates, additional email addresses of responsible persons at home institutions if needed)

Accommodation & Other Information: Insurance, Language Courses, etc.

You will receive information and application instructions for your accommodation in the dormitories over e-mail from the University International Office after your nomination. For additional information, please turn to the International Office of the University of Ljubljana first.
